Privacy Policy
This policy explains what personal data HireVAna collects, why, and your rights over it. We process data in line with the UAE Personal Data Protection Law (PDPL).

1. Who we are
HireVAna is operated by Foreground Digital and Trading FZE LLC, a company licensed in Ajman, United Arab Emirates, with registered address at 26th Floor, Amber Gem Tower, Ajman, UAE (the "Company", "we", "us"). For privacy questions, contact info@hirevana.ae.
2. What we collect
- Account data — name, email, password (hashed), role.
- Profile data — for specialists: photo, bio, skills, rates, experience, LinkedIn; for employers: company name, emirate, contact details.
- Verification data — government ID (Philippine National ID or passport), a face-match video, resume; for employers: UAE trade licence and Emirates ID.
- Biometric data — during identity verification we compare your short face video against the photo on your ID to confirm you are the document holder. This is biometric processing and we only do it with your explicit consent, given when you tick the consent box at submission. The video and ID are used solely for this check — never for marketing or profiling — and the only thing we keep after review is the verification result (pass or fail).
- Usage data — pages viewed, searches, messages, and device/log information.
3. Why we use it
- To verify identity and keep the marketplace trustworthy.
- To operate the service — profiles, search, matching, messaging.
- To communicate with you about your account and the service.
- To detect fraud, abuse and policy violations.
4. How we share it
We do not sell your data. Verification documents (IDs, trade licence, face video) are never shown to other users — only your public profile is visible. We share data only with service providers that help us run the platform, under contract, and where required by law. Those providers currently include: cloud hosting and private encrypted storage (AWS), document reading (OCR) during verification (Sijil), AI assistance (Anthropic for resume summaries; DeepSeek receives only anonymised, numbers-only comparisons — never names or contact details), transactional email (Brevo / Google Workspace), and privacy-respecting analytics (Umami). Signup events may be sent to Meta for ad measurement where you have consented to marketing cookies.
5. Storage, security & retention
Data is encrypted in transit and at rest, with access restricted to authorised staff. Sensitive verification documents are stored privately. The biometric face comparison runs on our own servers; the video and ID are deleted after review — within 90 days at most, regardless of outcome — and only the match result is retained. We keep other data only as long as needed to provide the service or meet legal obligations.
6. Your rights (PDPL)
You may request to access, correct, or delete your personal data, object to or restrict processing, and withdraw consent at any time. To exercise these rights, email info@hirevana.ae.
7. Cookies
We use essential cookies to keep you logged in and the service working, and limited analytics cookies to improve it. You can control cookies in your browser settings.
8. Changes
We may update this policy and will post the new date above. Significant changes will be notified to you.
